The call came in on a Tuesday.
A new client shared that one of their key employees had a major accident and was in the hospital, completely unreachable.
Outside of the obvious concern she had for her colleague, there was one major problem: the colleague had been the one who set up most of their software, including payroll for the small business of 17 employees.
Their payroll system was routing two-factor authentication codes to her personal cell phone. And nobody could find the login credentials for the tool they used to manage client projects, because she had always just handled it.
“We need to fix this fast,” the owner told me. “We have payroll due Friday.”
We got it sorted. But what happened next was the part he hadn’t expected.
This is such an important topic that I wanted to make sure to cover it on Your Numbers Are Talking.
Some of the key takeaways / things to watch for are:
1. One person’s unexpected absence exposed every system the business didn’t actually own.
2. $13,000 a year in forgotten subscriptions.
3. The fix wasn’t complicated — it just hadn’t been done.
